The Woodstock Minor Ball Association (WMBA) is seeking an Executive Director to lead the association's operations and help bring our long-term strategic vision to life.

As one of Woodstock's largest youth sports organizations, WMBA is committed to providing accessible, inclusive and high-quality baseball and fastball opportunities while developing young athletes, strengthening community connections and fostering a lifelong love of the game.

Guided by our Strategic Plan & Vision for 2035, we are entering an exciting period of organizational growth and development. We are seeking an experienced, motivated leader who can strengthen our operations, support our volunteers and help deliver on our ambitious goals for the future.

The Opportunity

The Executive Director serves as WMBA's senior operational leader, responsible for managing day-to-day activities and implementing the strategic direction established by the Board of Directors.

This is a unique opportunity for an individual who combines strategic thinking with hands-on operational expertise. The successful candidate will play an integral role in advancing player development, expanding programming, strengthening financial sustainability and building lasting partnerships within our community.

The Executive Director reports to the Board of Directors through the President and participates in Board meetings in a non-voting capacity.

Key Responsibilities

Organizational Leadership & Strategy

• Lead the implementation of WMBA's strategic plan and annual operational priorities.
• Establish effective organizational processes, systems and procedures.
• Provide operational leadership, reporting and recommendations to the Board of Directors.
• Support long-term organizational growth, governance and continuous improvement.

Program & Operations Management

• Oversee registration, scheduling, team administration, equipment and seasonal operations.
• Coordinate the delivery of House League, Select, Rep, fastball and player development programs.
• Oversee the operation and utilization of WMBA's indoor training facility.
• Coordinate tournaments, clinics, camps and major association events.

Financial Management & Revenue Development

• Prepare and manage operating budgets in collaboration with the Treasurer.
• Oversee bookkeeping, financial reconciliation, purchasing and financial reporting.
• Identify and develop sponsorships, grants, fundraising opportunities and revenue-generating programs.
• Support WMBA's long-term financial sustainability while maintaining affordable programming for local families.

People & Volunteer Leadership

• Recruit, coordinate and support coaches, umpires, volunteers and seasonal staff.
• Oversee applicable certification, screening and training requirements.
• Strengthen volunteer engagement, recognition, retention and leadership development.
• Foster a positive, inclusive and collaborative organizational culture.

Communications & Community Partnerships

• Manage association-wide communications, including the website, social media and member correspondence.
• Maintain strong relationships with the City of Woodstock, governing bodies, sponsors and community partners.
• Represent WMBA at community events, meetings and external engagements.
• Support initiatives that expand participation, improve facilities and strengthen WMBA's community impact.

Safety, Compliance & Governance

• Support compliance with applicable legislation, governing-body requirements and WMBA policies.
• Maintain operational safety procedures, incident reporting and risk-management practices.
• Provide administrative and operational support to the Board, including meeting preparation and the Annual General Meeting.

Required Qualifications

• Operational leadership: Experience independently managing complex operations, coordinating multiple priorities and delivering results with limited administrative support.
• Financial management: Practical experience with budgeting, bookkeeping, financial reconciliation and financial reporting.
• Organizational and project management: Demonstrated ability to establish effective processes, coordinate people and resources, manage competing deadlines and deliver projects.
• Leadership and relationship management: Experience working with staff, volunteers or multidisciplinary teams, including navigating challenging interpersonal situations.
• Communication: Strong written and verbal communication skills, with the ability to engage effectively with families, community partners and organizational leadership.
• Technology proficiency: Competence with financial software, spreadsheets, digital communication platforms and common administrative tools.
• Workplace flexibility: Ability to accommodate the seasonal demands of youth sport, including evening and weekend commitments.

Preferred Qualifications

• Previous leadership or management experience in community sport, recreation or a not-for-profit organization.
• Experience working with a volunteer Board of Directors, including governance reporting and implementing Board-approved priorities.
• Demonstrated success securing sponsorships, developing revenue-generating programs, fundraising or preparing grant applications.
• Experience managing large events, tournaments, facilities or seasonal programming.
• Knowledge of baseball or fastball operations, Baseball Ontario and the local sport environment.
• Experience working with municipal governments, community organizations and external funding partners.

Working Arrangements

The position is based in Woodstock, Ontario, with flexible working arrangements and a combination of on-site and remote responsibilities.

Working hours will vary throughout the year, with evening and weekend commitments during the baseball season and major association events.
